Requesting Access to Specialized Technology

Re: Requesting Access to Specialized Technology
To: All Instructors
August 14, 2020

As we begin the fall semester, we know that instruction will be remote for at least the first four weeks of instruction, possibly longer, and from Thanksgiving through the end of the semester. Access to campus for teaching will increase as public health conditions improve. However, for the foreseeable future, all instructional activities that can be done remotely must continue to be done remotely.

We understand that some instructors need access to specialized technology or a laboratory to prepare and/or deliver remote content. Therefore, various rooms and spaces can be reserved in advanced for your use. These classrooms are reserved for courses that require technology or laboratory space that is only available on-campus.

These designated spaces are available for reserved use from 8 a.m. to 5 p.m. Monday through Friday.

To initiate the reservation process, please complete and submit a reservation form at least three working days in advance of use. The following steps will occur after you have submitted the online request:

  • OIT will contact you to discuss your needs. If you need a classroom or teaching laboratory, OIT will generate a Service Now ticket to coordinate access to the room and assist in setting up the technology.

  • OIT will contact the Registrar’s Office to initiate a reservation, coordinate access to the designated room, and assist in setting up the technology with the instructor.

  • The Registrar’s Office will create a calendar appointment schedule on Astra (not to exceed 4 hours) and will notify the instructor and campus units including facilities, custodial, and emergency response about the room usage.

  • Custodians will be scheduled to clean rooms after each use.

Thank you for your cooperation.
